       The Team Chart Concept program, being the robust database system that it is, is very good at keeping track of information.  Microsoft Word is very good at formatting, displaying, and printing information.  Why not put the two together?  Well, we have.  Information in the Team Chart Concept can be merged with Microsoft Word Documents to professionally convey information from your practice with the outside world.

         Information from the following Timeline Categories  can be exported from the Team Chart Concept into Microsoft Word.

  • Patient Demographics (address, phone numbers, insurance, etc.)
  • Appointments
  • Encounters (all fields)
  • Dictation  from Encounters
  • Dictation Categories  from Encounters
  • Excuses
  • Lab Corp Results
  • Payments
  • Phone Calls
  • Prescriptions
  • Referrals
  • Referral Authorizations
  • Schedule Change
  • User Defined Records  (all fields on all records)

         Also, the following Types of Reports  can be exported from the Team Chart Concept into Microsoft Word.

  • Lab Corp Reports
  • Encounter Reports
  • User Defined Reports
  • Prescription Reports
  • Schedule Change Reports
  • Payment/Transaction Reports
  • Productivity Reports
  • Invoice Reports
  • Referral Reports
  • Referral Authorization Repots
  • Appointment Reports

         Reports that are exported into Microsoft Word are run at the time the fields in the Team Chart Concept are inserted into the Microsoft Word Document.  For example, you might have a pre-defined report for Blood Pressure readings.  For the given patient, that a Microsoft Word Document is being created for, that Blood Pressure report would run at the time of the Word Document creation, and the report output placed in the document.  This all happens automatically.

         Before you can export information into Microsoft Word, you must create a Template Document File  in Microsoft Word .  (The word Template, as used here should not be confused with Templates used for Dictation purposes.  These are, unfortunately, two completely different uses of the same term.)  The Template Document File is basically the same thing as a form letter .  It contains information that is generic in nature, that you may format with fonts, colors, tables, etc.

         Within this Template Document File you place special character strings (place holders ) that tell the Team Chart Concept where to put specific fields stored in the Team Chart Concept.  These special character strings have the following format:

                                     [*n]

where n is a number from 1 to the number of different fields you will export to this Template Document File.

 

For example, consider the following Schedule Change form letter .

         Dear [*1],

          Your appointment on [*2] at [*3] with [*4]

          Has been rescheduled to [*5] at [*6].

          Please make a note of the new time.

          If you cannot attend at this time, please call our office at 800-555-APPT.

         Given the above Word Document File contents, you might have the following fields linked to the 6 place holders as follows:

  • [*1]       Patient’ Full Name
  • [*2]       Schedule Change -> Old Date
  • [*3]       Schedule Change -> Old Time
  • [*4]       Schedule Change -> Old Appt With
  • [*5]       Schedule Change -> New Appt Date
  • [*6]       Schedule Change -> New Appt Time

         Once you create a finished Microsoft Word Document with the Team Chart Concept, it is stored in the Patient's Timeline for printing or e-mailing (if that is a word).  In addition to interfacing with Microsoft Word, The Team Chart Concept can also interface with Microsoft Outlook.  This gives you the ability to send your Microsoft Word Documents as fancy e-mails (not attachments) to Patients, Providers, Insurance Companies, and/or Pharmacies.  In fact any Contact stored in the Team Chart Concept can be sent an e-mail via Microsoft Outlook.

         The Team Chart Concept does not directly interface with Microsoft Excel at this time.  However, any report that is run in the Team Chart Concept can be saved to a tab-delimited text file and/or copied to the Microsoft Windows Clipboard for importation and/or pasting into Microsoft Excel.  Once the output from the Team Chart Concept has been imported into Microsoft Excel, you have its full processing and graphing capabilities at your disposal.
